Policies and Services
By making reservations, guests agree to the following policies:
- Check in is anytime after 2:00 p.m. Please call for late
arrivals after 6:00 p.m.
- Check out time is 11:30 am. There is a late check out fee
equivalent to ½ of one night’s stay. Please call concerning late
check out.
- Maximum occupancy is two persons per cabin, with the exception
of the Windmill Cabin.
- Maximum occupancy in the Windmill cabin is four. $30 charge per
person over two persons in cabin.
- Two-night stay required during holiday and event weekends.
- Discounted rates do not apply during holidays or special
events.
- Occupancy tax is added to room rate.
- Please leave your key either on the dresser in your room, or
place your key in the mailbox located on the outside of your
cabin. There is a $5.00 per key charge for keys not left on
site.
- It is our policy NOT to allow pets without prior consent of
the Owners, and at Owner discretion. An additional $35 fee will
be required per nightly rental. A $250 fee will be charged to
the cabin occupant for any unauthorized
pet or failure to get Owner consent prior to arrival. NO pets
may remain unattended in the cabins at any time. NO exceptions.
- Children - Please call Owners for prior consent. An
additional $30 per person per occupancy over two people in a
cabin will be charged.
- NO SMOKING in rooms. Guests may smoke outside. If smoking has been detected in any room, or any cabin has a smoke odor, a $250 fee will be charged to your card. NO Exceptions.
- There is a 10-day cancellation policy. Guests will be
charged for one night’s stay if cancellations occur within 10
days of arrival. Guests will be charged the full amount of the stay if cancellations are made within 72 hours of arrival.
- Deposits - a deposit equal to one night's stay will be charged at the time of reservation. For multiple night stays, a 50% deposit may be required at the time of reservation. Weekly rentals require a 50% deposit.
- Reservations are held per credit card or check. Balance due
will be authorized on your credit card 7-10 days prior to
arrival. If a credit card does not hold an authorization,
(declined, etc.), and we cannot contact you within 24 hours,
your reservation is subject to cancellation and your deposit
will be forfeited.
- We make every effort to inventory each cabin prior to your
stay to be certain that your needs will be comfortably met.
However, should there be any reason any cabin may require
maintenance or replacement of missing items, please contact us
IMMEDIATELY. We reserve the right to move you to another cabin
if repairs/maintenance cannot be performed promptly.
- Guests are responsible for any damages, missing items, or
additional cleaning fees due to misuse or damages incurred. These fees will be charged to your
credit card and you will be sent an itemized invoice detailing
charges incurred.
- Cancellation is not subject to inclement weather, unless
local road access to Tonkawaya Ranch is impassable according to
the Texas Department of Transportation on the day of arrival. If
no alternate route to Tonkawaya Ranch is available, please
contact us concerning an alternative cancellation policy.
- Guest use of the fire pit and barbeque pits are subject to
burn ban. During a burn ban, NO use of fire is permitted on
property.
- Owners reserve the right to make changes to the cabins or
pricing changes per cabin. Please confirm rates when making
reservations.
- Owners reserve the right to refuse service to anyone.
- No ATV's or hunting allowed on our property.
Group Reservation:
A Group is defined as any person or party reserving Four (4)
or more units either in the same name or different names. A 50%
deposit is required at the time of the booking, the additional
50% balance due will be charged to the guarantor’s credit card
21 days before time of arrival. For cancellations 21 or more
days before time of arrival, a $35.00 per unit charge will be
applied. Cancellations 20 days or less before time of arrival
will result in loss of the entire deposit and unless we can
rebook the units, the entire amount will be charged for each
room. We DO NOT allow parties or gatherings in their units
unless written permission is given in advance. If such parties
or gatherings occur, guests may be asked to leave and/or be
billed at an additional $250.00 per every hour the party or
gathering occurred.
You will need to hold your reservation with a credit card
guarantee. All credit cards are run 10 days or less before your
check-in date. If you cancel 10 days or more before check-in
date, your credit card will be charged $35.00 for the
cancellation. No exceptions.
We accept MasterCard, Discover, Visa, American Express, and
Money orders. We will accept a personal or company check, but it
must be in our hands no later than 10 days before your arrival
date. Any transactions that are made after the credit card has
been charged will include a 3% fee (minimum of $5.00).
You agree that Check out is 11:00am or earlier, late check
outs will be billed to your credit card; a charge that is equal
to one-half a night stay. You agree that if the number of guests
that have been billed for decreases within 10 days of the
arrival date, you will still be billed for them.
You will need to hold your reservation with a credit card
guarantee. All credit cards are run 10 days or less before your
check-in date. If you cancel 10 days or more before check-in
date, your credit card will be charged $35.00 for the
cancellation. No exceptions.
A charge equal to your complete confirmed reservation will
be made for failure to cancel 10 days or more before check-in
date. In other words, if you cancel 10 days or less prior to the
arrival date of your confirmed reservation, you will be charged
full price unless we are able to rebook your reservation dates.
If your credit card is declined for the total charge due, for
any reason, your reservation may be cancelled and any deposits
may be forfeited.
Following a reservation, you will receive by mail, fax or
e-mail:
- A letter of confirmation
- Directions to the bed and breakfast
- Key pick-up information
- Other pertinent information pertaining to the Bed and Breakfast
Property you have reserved
- Policies
Concierge service - We do not
offer a full-scale concierge service, but we are happy to make
reservations for you for our local restaurants, Rockbox Theatre,
spas, or special events in Fredericksburg or Luckenbach. Please inform us of your requests at least 48 hours prior to your arrival. We cannot guarantee availability for any venue.
Guest Laundry Services - For
extended stay visits of four or more days, guests may request to use
the laundry room adjacent to the cabins. We do not offer a wash and
fold service at this time, but guests may call to reserve use of
washer and dryer. $15 per half day includes detergent and fabric
softener.
